Sample Email Message:
Dear Team Member,
At [NAME OF YOUR PRACTICE], we want to improve our organizational culture and work environment.
For this purpose, we have hired a software system called VetPowerment, by Vetoquinol, which will help us identify, define, and recognize our strengths and opportunities for improvement.
Unlike traditional surveys, with VetPowerment the results will not only show Management which areas need to be improved, but also give YOU personally valuable information about how you are perceived by your peers.
We strongly believe that good feedback is key to grow as a practice, and as an individual.
Participation in VetPowerment is 100% voluntary, but we are confident that once you see its potential and how it works, you will want to be part of this continuous improvement initiative.
Furthermore, VetPowerment includes a robust community component that allows you to offer suggestions and ideas, add comments, message your team mates and learn about the latest news and updates from [NAME OF YOUR PRACTICE].
With some exceptions, your answers to the survey questions are ANONYMOUS. Both Management and you will know WHAT is said about you, but never WHO said it. So rest assured that your voice and your answers will always be protected by this anonymity. We look forward to having you on board.
As we can all imagine, by working as a team, we can achieve all our goals and make [NAME OF YOUR PRACTICE] a better place to work.
Sincerely,
[YOUR NAME]
VERY IMPORTANT:
To ensure that our emails don’t go to spam, it’s important for your team members to add our email domain (vetoquinol.com) to their email’s whitelist. They can do this by adding our email address to their contacts or by marking our emails as “not spam” in their email client.
Here’s how to do this on some popular email clients:
- On Gmail, your team members can add our email address to their contacts by clicking on the “+” icon in the lower right corner of the screen, selecting “Create Contact”, and then entering our email address in the appropriate field. They can also mark our emails as “not spam” by selecting the email from their spam folder and clicking on the “Not spam” button.
- On Outlook, your team members can add our email address to their Safe Senders list by opening an email from us, clicking on the three dots in the upper-right corner of the email, and selecting “Add to Safe Senders”. They can also mark our emails as “not junk” by right-clicking on the email in their Junk folder and selecting “Not Junk”.
- On Hotmail, your team members can add our email address to their Safe Senders list by clicking on the gear icon in the upper-right corner of the screen, selecting “View all Outlook settings”, and then selecting “Junk email”. From there, they can add our email address to the Safe Senders and Domains list. They can also mark our emails as “not junk” by selecting the email from their Junk folder and clicking on the “Not junk” button.
